How Tenure Weighting Works

Tenure % acts as a weighting multiplier in the bonus distribution formula:

Bonus = (BaseBonus × TenureWeight) / Σ(BaseBonus × TenureWeight) × Pool

A 12+ month employee (45%) receives proportionally more than a 3–6 month employee (20%) with the same hours performance.

Incentive Program Policy

To qualify for a bonus, the team must achieve specific performance goals set for the period (month, quarter, or year). Team performance is measured against these targets at the end of each period. Bonuses are awarded only if the total achieved rate for the period is at least equal to the configured trigger percentage. No bonuses will be awarded if the total achieved rate falls below this threshold.

Eligibility Rules:

Members who leave the company during the period are not eligible for bonuses.
Paid Time Off (PTO) for sick leave, annual leave, and continuing education (CE) is included in total hours worked.
Unpaid PTO is not included in total hours worked.
Minimum of 3 months tenure required to participate.

Performance Threshold:
The performance threshold is established at the beginning of each year and remains fixed throughout the year. This provides clear and consistent targets for the team, ensuring that goals reflect continuous improvements in performance without being adjusted upward for each period.

Set Completion Trigger % — The minimum completion rate required before any bonuses are distributed.

How this works: Each employee who reaches a milestone year receives a retention bonus based on their total employer cost (salary + employer payroll taxes). The 5yr bonus is a lump sum; the 7yr and 10yr bonuses are spread as weekly payments over the 2-year and 3-year windows respectively.

2026 CAD (tiered): CPP1 5.95% on $3,500–$74,600 + CPP2 4% on $74,600–$85,000 + EI 2.28% up to $68,900 (max $1,572.30). 2026 USD (tiered): SS 6.2% on first $184,500 + Medicare 1.45% on all wages. Effective rate shown per employee is the actual tiered amount ÷ salary.

Retention Bonus Program Policy

The Retention Bonus Program is designed to reward and retain long-term team members. Bonuses are paid at predefined anniversary milestones based on a percentage of the employee's total employer compensation cost.

Default Milestone Structure:

5-Year Milestone: Lump-sum bonus paid at the 5th anniversary = 3% of annual employer cost
7-Year Milestone: Weekly payments spread over 104 weeks (years 5–7) = 5% of annual employer cost ÷ 104
10-Year Milestone: Weekly payments spread over 156 weeks (years 7–10) = 8% of annual employer cost ÷ 156

Important Notes:

Milestones and percentages are configurable in the Program Setup tab
Total employer cost includes employer payroll taxes (CPP/EI for CAD; FICA for USD)
Employees must be actively employed at the time of each milestone to receive the bonus
Part-time hours are reflected in the annual base salary calculation
